โ Todos
Do you often find yourself losing notes after every meeting? ๐ฅYou may be discussing groundbreaking ideas and jotting them down on sticky notes that are lost somewhere.
Well, this happens to a lot of us. ๐คทโ๏ธ
Sometimes great ideas and little details are missed because they are not organized strategically.
One golden productivity rule is to write tasks and ideas down, because what's written down, gets done. ๐โ๏ธBut how you write them also matters. In Blue, you can create todos, set due dates, assign to other members, and allow them to comment or respond. Now you'll never miss details again and you'll be able to keep track of what needs to get done. ๐
โ How Todos Works in Blue
๐ Todo Title
Todo titles give you a glimpse of what tasks you need to complete in a certain list or process. It's important for todo titles to be action-oriented and specific, because you definitely do not want the assignees (or even yourself) to feel vague about the todo.
๐ Due Date
You can write down as many ideas as you want, but if it doesn't have a due date, it doesn't get done. In Blue, you can set a start date and end date to the todo. Our Notification Settings would also allow you to get notified when due dates are coming up/overdue.
๐ฉ๐ง Assignees
Accountability is a priority in every project management. The worst thing a manager can do is to write a task and expects anyone to get it done. Everyone wants to be useful by being accountable for something; managers must always assign todos to specific people, so the tasks get done.
! Now what if your team is collaborating together on a project and you're not sure who to assign todos to? Here's our take on the number of assignees for a todo: " One vs Multiple Assignees to Todos". ๐
๐ Description
A good todo has a clear description or expectation attached to it. If you need to provide details of a todo you assigned to someone, this is the place to do it. You can also upload files and images, which will appear as a preview from board view on your todo.
โ Checklists
At work, you want to make sure you complete a project diligently, so little details really matter! Some todos may come with subtasks that need to be completed, so we've added Checklists inside a todo for you to note down little details to complete the task. No more fretting about what details you might be missing!
โ What you can do with the checklist items
- Assign Team members - This will show under their "My Todo" as well.
- Set a Due Date
- Add a link that is clickable with the checklist
๐Assignee & Due Dates on Checklist
If a todo is extensive and requires a few team members to complete it, you can also assign a checklist item to an individual person and set a due date. This establishes more accountability and allows the assignees of the todo to understand their roles.

โ๏ธ Copy/Move Todo
Flexibility in managing your workflow is important to us, and we know that todos will need to be moved around from time to time, no matter how you organize your lists.
- You can move individual todos across different lists from a dropdown bar inside the todo itself.
- You can copy the todo to another project, and choose which things from a todo to copy across.
- You can move the todo to any project you're part of, and we'll include comments, files, tags, and everything else for you.
๐ฌ Comments
Transparency makes team communication much more effective, so members inside a project not only can see your todos, but they can also comment and provide input when necessary. On top of this, you can type "@" to mention any member in the project.
You can also edit your comment by clicking on the three dots of the comment you want to edit
โ๏ธ Mark as Complete / Incomplete
Inside every todo, you can mark as "Complete" if it's done. The activity will be notified to people in the same project.
๐ Todo History
Every time something happens in a todo, from due date changes to new assignees, we make sure to track who made the change and when. This keeps one clear version of the truth, everyone knows exactly what happened.
๐ Preview Audio
Pictures and videos can already be previewed within Blue, and we're adding the ability to have this for a wide range of audio files as well.
- You can download the audio file to your computer
- Use the playback speed to adjust the speed of the audio.
