With email automation, you can create customized email templates that are automatically sent out to recipients based on specific conditions. This saves time and effort, as it eliminates the need to manually compose and send emails.
π How to use Email Automation
Email automation can help streamline communication between team members and stakeholders. Here's how to use email automation:
- Go to automation on the top right of your project board
- Click create automation
- Choose your triggers for when something happens
For example
- When "A todo is moved to another list", then "Send Email"
- When "A tag is added to a todo", then "Send Email"
- When "A user is assigned to a todo". then "Send Email"
Once you have defined the triggers or actions, you will need to create email templates that will be automatically sent out when those triggers or actions occur. You can customize these templates with fields like currency fields, single-line text fields, file fields, and more so that the emails contain all the necessary information.
π How to edit the email template
Enter the recipient's email and CC or BCC any necessary email addresses, when you first use email automation it is highly recommended to start with a test email or your own email first to see if the automation is set up correctly.
Don't forget to add an email for your recipient to reply to as well!
The subject of the email is a must so enter any generic subject as it will be used automatically.
- Now start to customize your email template
- Click on the mailbox on what you want to type, then select your todo names and custom fields.
- To select custom fields, type { to reference any todo field or custom fields.
If you need to attach files, simply drag and drop them into the file box or use the attachment button. Keep in mind that files associated with custom fields that are above 10MB will also appear in the file box.
Once you have completed your template, click to confirm and click to create automation. Now start sending them automagically π

Once you have set up your triggers, you can begin sending emails automatically when certain actions occur. We highly recommend testing the automation first and checking your mailbox to ensure that the email template looks exactly how you want it to.
